SNOWSU Policies

At SNOWSU our goal is to create a Safe and Inclusive environment for everyone, which is why we have the following policies for our members to follow

Zero Tolerance Policy

The following behaviors will not be tolerated under any circumstances: Any actions falling under the Zero Tolerance Policy could lead to expulsion from the club and may result in being removed and left behind at events, including off-campus snow resort activities, where the individual would be responsible for managing their own situation. If such actions occur, SNOW.S.U. will report the incident to Oregon State University and local authorities.

Theft - Stealing from members, guests, club property, or any third party will result in immediate disciplinary action, including instant expulsion from the club

Damage to Property - Intentional or reckless damage to personal property, club equipment, or facilities used by SNOW.S.U is strictly prohibited. Members will be held financially responsible for repairs or replacements.

Harassment and Discrimination - Harassment, bullying, or discrimination of any kind, including verbal, physical, sexual, or online harassment, will not be tolerated. This applies to all interactions during club activities and in online spaces.

Violent Behavior - Physical violence or threats of violence against any individual, whether a club member or not, is grounds for immediate expulsion and possible legal action.

Substance Abuse - The use or possession and sale of illegal drugs (those not legal to consume in the jurisdiction of the event) or excessive alcohol, tobacco or marijuana consumption that leads to unsafe or disruptive behavior during any club event is prohibited.

Code of Conduct:

Respect and Inclusivity

  1. Treat all members, guests, and partners with respect, regardless of race, ethnicity, gender identity, sexual orientation, religion, or ability.

    1. Be inclusive in your actions, ensuring everyone feels welcome and valued.

  2. Safety First

    1. Prioritize safety on and off the slopes. Follow all safety guidelines and instructions provided during club activities.

    2. Report any hazards, injuries, or inappropriate or unsafe behavior to club leadership immediately.

  3. Integrity and Honesty

    1. Act with integrity in all club activities, including being truthful in communications, responsible with club resources, and honest in any conflicts or disputes.

General Standards

  1. Student Status

    1. All members are required to be Oregon State University students

  2. Waiver

    1. All members are required to sign the SNOW.S.U General Waiver before participating in any club activities, events, or trips.

    2. The waiver acknowledges that members understand and accept the inherent risks associated with winter sports and other club-sponsored activities.

  3. Finances

    1. Members must pay all incurred bills and fees by the designated deadlines, including those incurred by getting a optional paid membership.

    2. Any additional fees incurred, such as for event registration, trips, or merchandise, must be paid in full before participation.

    3. Failure to pay outstanding balances may result in suspension of membership privileges or exclusion from future events.

Guests

SNOW.S.U welcomes guests to participate in select club activities, fostering community and introducing new individuals to our winter sports culture. However, to ensure the safety and enjoyment of all participants, the following rules apply to all guests:

  1. Waiver Requirement

    1. All guests must sign the SNOW.S.U General Waiver prior to participating in any club event or activity.

    2. The waiver acknowledges that the guest understands and accepts the inherent risks associated with winter sports and other club-sponsored activities.

  2. Behavior Expectation

    1. Guests are required to follow the SNOW.S.U Code of Conduct at all times during club events

    2. This includes respecting other participants, adhering to safety guidelines, and acting responsibly to reflect positively on SNOW.S.U and its sponsors.

  3. Accountability

    1. The member who invites a guest is fully responsible for their guest’s actions.

    2. If a guest violates the Code of Conduct, the sponsoring member may face disciplinary actions as if they had committed the violation themselves.

  4. Potential Disciplinary Actions

    1. Members may be subject to warnings, suspension, or expulsion based on the severity of their guest’s actions.

    2. Financial restitution may be required if a guest causes damage to club property or incurs other costs.

Reporting Incidents

  • Risk Managers Contact

    • Any violations of this Code of Conduct or concerns about inappropriate behavior should be reported promptly to Club Leadership. The Risk Manager is responsible for handling complaints and issues confidentially and will take appropriate action to address the issue.

  • Anonymous Reporting

    • Members can also submit complaints anonymously via the SNOW.S.U incident reporting form available on Discord.

Club Events and Activities

  1. Safety First 

  1. Prioritize safety at all times. Follow all posted signs, warnings and guidelines on the slopes and during club events

  2. Wear appropriate ski gear, including helmets, and ensure your equipment is in good condition to use. 

  3. Follow ski resort rules, including respecting designated ski areas and closures. 

  1. Responsible Behavior 

    1. Uphold respect and ensure all actions contribute positively to the club atmosphere.

    2. Always be courteous and considerate to others on the slopes and in common areas (lodges, lift lines, parking lots. ect) 

    3. Maintain control of your speed and direction to avoid accidents or collisions with others. 

    4. If involved in an accident or incident on the slopes, report it immediately to a club leader and ski patrol. 

    5. Alcohol consumption is allowed only during designated events for those of legal drinking age.

  2. Event Participation

    1. Notify organizers if you are unable to attend after registering to allow waitlisted members to join. 

    2. Participate in club events with a positive attitude and readiness to engage with other members. 

  3. Accountability and Consequences 

  1. Be responsible for your own actions. If you violate any part of the code of conduct, you may be subject to review and potential removal from the club. 

  2. Resolve conflicts calmly, respectfully, and responsibly. If a situation escalates, reach out to a club leader. 

Sponsorship Reflection and Responsibility

At SNOW.S.U, we are proud to partner with sponsors who share our values of inclusivity, respect, adventure, and sustainability. These sponsorships provide essential support, allowing us to enhance our events, offer quality equipment, and build a stronger community. As such, every member's actions directly reflect on the club and its sponsors.

Member Responsibility to Sponsors

  1. Representation

    1. Members represent not only SNOW.S.U but also our sponsors during all club activities and events. Maintain professionalism and uphold the highest standards of behavior to reflect positively on our sponsors.

  2. Respect for Sponsored Equipment and Events

    1. Use any sponsored equipment responsibly, adhering to proper care and usage guidelines. 

    2. At sponsored events, follow all outlined rules and exhibit behavior that aligns with the values of SNOW.S.U and our partners.

  3. Promoting Positive Relations

    1. Engage with sponsors respectfully during events or interactions, whether in-person or online. This includes expressing gratitude for their support and avoiding any actions that could damage the relationship between SNOW.S.U and its sponsors.

Unacceptable Behavior and Its Impact

  1. Reckless or Negative Actions

    1. Any behavior that compromises the reputation of SNOW.S.U or its sponsors, such as harassment, vandalism, or public misconduct, is strictly prohibited.

  2. Social Media Conduct

    1. When posting about club events or sponsors online, avoid content that could harm the club’s or sponsor’s reputation. This includes inappropriate language, images, or behavior.

  3. Consequences of Misconduct

    1. Actions that negatively impact sponsor relations may result in disciplinary action, including suspension or expulsion.

    2. Additionally, members may be held financially or otherwise accountable if their actions lead to the loss of sponsorships or damage to sponsored property.

Acknowledging Sponsor Contributions

Members are encouraged to acknowledge and publicly promote our sponsors when appropriate. This includes using official hashtags, wearing sponsored merchandise, and sharing positive experiences at sponsored events.

Disciplinary Actions

Violations of the Code of Conduct will result in the following disciplinary actions, depending on the severity of the offense:

  1. Warning

    1. A verbal or written warning will be issued for minor infractions

  2. Suspension

    1. Temporary suspension of membership for repeated violations or moderate infractions.

  3. Expulsion

    1. Permanent removal from the club for severe infractions, such as theft, harassment, or violence. Any actions falling under the Zero Tolerance Policy could lead to expulsion from the club and may result in being removed and left behind at events, including off-campus snow resort activities, where the individual would be responsible for managing their own situation. If such actions occur, SNOW.S.U. will report the incident to Oregon State University and local authorities.

  4. Financial Liability

    1. Members may be required to reimburse the club for any damage or loss of property caused by their actions.

Appeals Process

Members who receive disciplinary action have the right to appeal decisions by submitting a formal written request to the club leadership within 5 days of the disciplinary action notice.

By joining SNOW.S.U, you agree to uphold this Code of Conduct and contribute to a safe, respectful, and adventurous community. We will ensure a fun, inclusive, and sustainable environment for all!

Trip Policies:

Substance Policy


This policy applies to all SNOW.S.U activities, both on and off campus. Participation in any form of substance use is never required or encouraged. Only individuals of legal age may consume or use alcohol, marijuana, tobacco, or vaping products. SNOWSU does not provide any or the funding to purchase any substances listed or not listed on this list.  All participants must comply with applicable federal, state, and local laws, as well as OSU policies, venue regulations, and slope rules. Trip leaders and chaperones may direct participants to limit or stop use at any time, and those directions must be followed. If directions are not followed it will be treated as a violation of our Zero Tolerance Policy.  

Alcohol may be present at some SNOW.S.U events. Consumption is restricted to those of legal drinking age and must be done responsibly. When events occur on OSU property or are officially university-sponsored, all alcohol service must comply with OSU Alcohol Service requirements, including advance approval and use of licensed service where necessary. Intoxication or behavior that compromises safety or disrupts operations may result in removal from activities and possible referral to the OSU student conduct process.

Marijuana use is limited to individuals of legal age and must remain responsible. However, marijuana remains prohibited on OSU property and at all OSU-sponsored events, regardless of Oregon state law. For off-campus events not classified as university-sponsored, participants must still comply with all relevant laws and venue regulations.

Tobacco and smoking are also restricted to those of legal age. Participants must follow all campus smoke- and tobacco-free policies, as well as any venue restrictions. When smoking is permitted, it must occur outdoors and away from others, with windows and doors closed to prevent smoke from entering buildings. All smoking-related waste must be fully extinguished and properly disposed of.

Vaping is limited to those of legal age and subject to all posted rules and campus or venue restrictions. Vaping must take place outdoors to minimize exposure to others. If at a public venue where vaping indoors is allowed, users must take precautions to avoid triggering alarms or detectors. Participants should be considerate of others by minimizing vapor and scent exposure and must properly dispose of all used pods or cartridges.

Failure to follow this policy, any applicable law, or OSU rule may result in removal from an event, loss of club privileges, and referral to the OSU student conduct process.

Other Policies

The following policies and guidelines will be enforced by the trip chaperones, and any violations will be handled according to the SNOW.S.U Code of Conduct. 

Guests - Guests are permitted to visit and hangout with members in public spaces such as ski resorts, restaurants and public parks. Guests are not permitted to come back to private spaces such as rented houses, lodges, tailgate space and event spaces. Club Members are responsible for all of their guests actions, and action that violates any of our policies perpetrated by any guest will be treated as if the inviting member were to violate our policies. 


Reckless or Negative Actions - Any behavior that compromises the reputation of SNOW.S.U or its sponsors, such as harassment, vandalism, or public misconduct, is strictly prohibited.


Fire - No fires may be started without the direct approval of a trip chaperone. Open flames, campfires, stoves, and other heat sources must be used only in designated areas and in full compliance with local fire regulations, burn bans, and land-management rules. Approved fires must be attended at all times and fully extinguished before leaving the site. Participants are responsible for keeping safe distances from tents and equipment and ensuring that water or extinguishing materials are readily available. Any unauthorized or unsafe use of fire may result in immediate removal from the event.
